Refunds and seat changes

These rules apply to classroom mapping sessions at Pilot Base Market Institute. They do not mention shipped goods or software licences because we do not sell those. Fees, when paid, are arranged in person or by bank transfer the studio names — never through this website.

Eligibility

A full refund of a session fee is available if you cancel in writing at least seven days before the first seated hour, and if printed chart packs for that date have not already been prepared for you. After that window, the refund is partial or none, as below.

Timeframe to ask

Send the request to studio@portalpilotbase.click or bring a note to 96 Baratashvili Avenue, New Athos no later than fourteen days after the missed or cancelled session. Requests after that period are declined except where Georgian consumer law requires otherwise.

Full refund

Full return of the fee you paid for that session when: the institute cancels and cannot offer a replacement date within thirty days; or you cancel seven or more days ahead and no personal chart pack was printed.

Partial refund

If you cancel between six days and forty-eight hours before start, we keep 30% of the session fee to cover reserved chair and printing, and return the rest. If you have already sat the first Saturday of a two-Saturday intensive, the second Saturday may be refunded at 50% if cancelled forty-eight hours ahead; the first Saturday is not refunded once held.

Non-refundable items

Printed chart packs once they have been handed to you. Take-home checklists already issued. A seat in Thursday review after that evening has begun. Time already spent in a private walkthrough.

Work already started

Once silent marking has begun, that block is used. We do not refund a block in progress. Remaining unused blocks in a series follow the partial rules above.

Purchased materials

Paper and prints supplied in class are included in the session fee. If you buy extra historical prints at the desk, those are non-refundable once printed.

Deposits

A deposit to hold an intensive chair is applied to the fee. It is refundable under the seven-day full-refund rule. Inside seven days it is kept unless we cancel the series.

Cancellation by you

Write with your name, session title, and date. We reply with what can be returned.

Rescheduling

One free move to a later published date if you ask at least forty-eight hours ahead and a chair exists. A second move is treated as a cancellation of the original seat plus a new booking.

No-shows

If you do not sit and did not write ahead, the fee for that date is kept. Thursday drop-in no-shows are not transferred to another week.

Process and method

Approved refunds go back by the same method you used to pay the studio (cash receipt or bank transfer). We do not send refunds to third-party wallets. Processing at the desk is usually five to ten business days after approval.
